Editing Multiple Boxes or Files

Multi-item edit enables you to add and overwrite field values on up to 100 boxes or files at one time. Use this time-saving feature to quickly make bulk changes to existing records that are stored at Iron Mountain, including assigning hold codes to boxes and removing hold codes from boxes.

  1. Select Records Management | Search, Retrieve. The Search Results screen is displayed.
  2. Perform a search to find the records you need to edit:
  1. Click the checkbox to the left of each record to select two or more boxes or files. You are able to select up to 100 records to edit at one time.
NOTE: Click the top level multi-select checkbox (located to the left of the Item Type column) to select all records displayed on the current screen.
  1. Click the Multi-Select Action dropdown and select Multi-Item Edit. The Multi-Box Edit or Multi-File Edit screen opens.
  2. Enter values in the appropriate fields.  Your entry will overwrite the value on the selected boxes or files.  You can also:

Refer to the sections on Box Fields and File Fields for information about the fields you are editing.      

  1. Click Confirm>.
NOTE:  Click <Field Values to return to the previous screen and modify any of the edits before finalizing them.
  1. Review the fields that you are editing and click Finish.
  2. Iron Mountain Connect Records Management updates the field values of the selected boxes or files, and adds a corresponding entry on the record’s Data History tab.  An email confirmation is sent to the email address on your user profile.
NOTE:  Multi-Box Search and Multi-File Search are other time-saving features in Iron Mountain Connect Records Management.  They enable you to search for and locate up to 1,000 boxes or files at a single time.
